Refund & Cancellation Policy

How trials, renewals, refunds, proration, and cancellations work for Zofoo Suite subscriptions.

Effective: November 4, 2025

This Refund & Cancellation Policy applies to purchases made on zofoocrm.com and within the Zofoo Suite app at https://workplace.zofoocrm.com. It should be read with our Terms & Conditions and Privacy Policy.

1) Subscription model

  • Zofoo Suite is sold on a **per-seat** basis, billed monthly or annually in INR or USD.
  • Adding users increases active seats immediately. Removing users lowers your seat count at the **next renewal** unless otherwise stated.
  • Taxes (e.g., GST/VAT/sales tax) may apply based on your billing location.

2) Trials & promotions

  • Trials and introductory promotions run for the period shown at sign-up. When a trial or promo ends, **standard pricing** applies automatically unless you cancel before renewal.
  • Trial or promo fees are **not refundable** once the paid term begins, except where mandatory law requires otherwise.

3) Cancellations

  • You can cancel anytime from **Settings → Billing** in the app or by emailing billing@zofoocrm.com from your admin email.
  • Cancellation stops **future renewals**. Your current paid term remains active until it ends, unless we confirm an earlier cutoff in writing.

4) Refund eligibility

  • Monthly plans: Charges are non-refundable once the billing period starts.
  • Annual plans: Within **14 days** of the first annual charge, you may request a full refund **if you have not materially used the product** (e.g., no significant data imports or active usage beyond basic setup). After 14 days, annual fees are non-refundable and service continues until the end of the term.
  • Service issue credits: If a verified Zofoo outage or defect materially affected your use, we may offer **pro-rated credits** at our discretion (applied to future invoices).

5) Mid-cycle seat changes

  • Adding seats: charged **prorated** for the remainder of the term.
  • Removing seats: takes effect on the **next renewal**; we don’t refund the unused remainder of the current term.

6) Payment issues & chargebacks

  • If a legitimate billing error occurs, contact us at billing@zofoocrm.com and we’ll correct it or issue a refund where appropriate.
  • Filing a chargeback without contacting us may delay resolution. We may suspend service for unresolved chargebacks.

7) Taxes & currency

  • Taxes and regulatory fees are **non-refundable** once remitted to authorities.
  • Refunds (when applicable) are processed in the **original currency and method** used for payment.

8) Non-refundable items

  • Professional services, onboarding, custom development, or dedicated infrastructure.
  • Third-party fees (email/SMS credits, payment gateway fees) once consumed or provisioned.
  • Accounts suspended for **policy violations** or abuse.

9) How to request a refund

  1. Email billing@zofoocrm.com (or open **Support → Tickets** in the app).
  2. Include: company name, admin email, invoice number, date of charge, amount, and reason.
  3. We’ll review within **5–7 business days** and let you know if a refund or credit applies.

10) Terminations by Zofoo

We may suspend or terminate for non-payment, security risks, or violations of the Terms & Conditions. If we terminate without cause, we’ll refund the unused portion of your current term (prorated). If termination is for cause, refunds are not available.

11) Enterprise orders

Signed order forms or MSAs may specify custom billing, renewal, and refund terms. If there’s a conflict, the signed agreement prevails.

12) Changes to this Policy

We may update this Policy to reflect product, pricing, or legal changes. When changes are material, we’ll notify admins in-app or by email prior to the effective date.
